Where the business was

Event pricing at The Rocks moved with dates, guest numbers, spaces, packages and options. Every enquiry meant a staff member assembling a quote by hand, and a manual quote took approximately one hour once staff were available to prepare it. Outside business hours, pricing questions simply waited.
The website of the day compounded the problem. Most people research venues on a phone, often in the evening, and the old site was slow and difficult to use on mobile.

The commercial problem

A venue sells against other venues, and the customer who cannot get a price keeps looking. Interest arrived constantly, but the gap between the question and the answer meant enquiries drifted away before anyone at the venue knew they existed. The business also had no record of who had priced an event and walked away, so there was nothing to follow up.

The original brief

The conversation began the way most website projects do: the site was dated and needed replacing. A standard redesign would have delivered a better looking version of the same commercial machinery.

What HPCR identified

HPCR identified an opportunity that had not previously been considered and recommended a more ambitious approach than a standard website redesign. The venue's most valuable commercial asset was its pricing knowledge, and that knowledge could work around the clock if it were built into the website as an instant pricing system that answered customers immediately and captured every enquiry by name.

What HPCR designed and built

The pricing logic came first: how quotes were actually assembled, which variables moved the number and which rules had exceptions. That became a pricing engine the venue maintains itself, with prices and rules adjustable without a developer.
Around the engine sits the Plan Your Event experience: a guided, mobile-first flow where a visitor chooses their event type, date, guest numbers and options and sees a live price immediately. Every use captures a name and contact detail.
The complete package went live together: the rebuilt mobile-first website, the pricing tool, automated follow-up that starts the conversation while interest is high, and reporting across the whole journey.

Who uses the system

Customers use the pricing tool at any hour, most often on a phone. Venue staff receive named, qualified enquiries with the follow-up already under way, instead of a queue of quote requests. Management uses the reporting to decide where to advertise and what to improve next.

One journey, entered once: the website brings the visitor in, the pricing tool answers them and captures the enquiry, automated follow-up continues the conversation, and the reporting layer records what visitors priced, where they stopped and which enquiry types are growing. Each part feeds the next.

What changed

Pricing enquiries are now answered immediately, including outside business hours. The venue reports receiving approximately 25 to 30 qualified pricing enquiries per week. A qualified enquiry means a completed pricing journey where the visitor supplied their name and email, so every one is a real person who has already seen their price. The business reports being around five times busier across its enquiry channels following the new website and pricing-tool launch.
Staff hours once spent assembling quotes now go into converting enquiries that arrive qualified, and the volume of qualified enquiries demonstrated the commercial value of the system within its first weeks of operation.
