The problem

Event pricing is genuinely complicated. It moves with dates, guest numbers, spaces, packages and options, so every enquiry meant staff working out a quote by hand and the customer waiting for an answer. Outside business hours, nobody answered at all.
The previous website made it worse. Most people research venues on a phone, and the old site was slow and hard to use on mobile, so potential clients drifted away before they ever enquired.

Why ordinary tools were not enough

A prettier website with a contact form would not have solved either problem. Generic quote plugins cannot carry real event pricing logic, and a form that answers "we will get back to you" still leaves the customer without the one thing they came for: a price.

What HPCR designed

We started with the pricing itself: how quotes were actually assembled, which variables moved the number and which rules had exceptions. That logic became a pricing engine the venue can maintain, with prices and rules adjustable without a developer.
Around it we designed the Plan Your Event experience: a guided flow, built mobile-first, where a visitor chooses their event type, date and options and sees a live price immediately. Every use captures a name and contact detail, so an anonymous browser becomes a real enquiry.

What HPCR built

The complete package went live together: the rebuilt mobile-first website, the instant pricing tool, automated follow-up emails that read as personal and start the conversation while interest is high, and a reporting layer underneath the whole journey.
The reporting shows how visitors move through the tool, what kinds of events they price, where they stop before enquiring and which enquiry categories are growing. Those insights now inform the venue's advertising, and each round of improvements to the tool itself.

The results

The published results from launch: more than 150 enquiries in the first five weeks, a five times increase in enquiries across web, phone and email, and name and contact details captured on every enquiry. The tool has continued to generate 20 to 30 enquiries a week, including through quieter periods, and the increase in bookings covered the cost of the build within those first five weeks.
